Administrative Assistant Position Key Responsibilities

  1. Logistics Coordination:
    • Coordinate logistics activities for the office, including vehicle management and monitoring.
    • Ensure timely servicing and maintenance of vehicles, oversee fuel card processes, and facilitate travel bookings for staff.
  2. Administrative Support:
    • Provide clerical and administrative assistance, including hotel reservations, meeting coordination, and document management.
    • Support colleagues in travel expense claims processing and other administrative tasks as required.
  3. Office Support and Maintenance:
    • Supervise office maintenance activities and ensure a clean and orderly workspace.
    • Maintain files and records related to office maintenance and operations.
  4. Cash Recovery and Management:
    • Prepare invoices for the use of armored vehicles and ensure timely payment processing.
    • Establish a tracking system for payments and provide regular usage and income reports.
  5. Document Management and Correspondence:
    • Develop and maintain a filing system according to UN standards.
    • Ensure proper filing of official documents, including correspondence, reports, and mail.
    • Edit, format, and provide inputs to documents and correspondence as needed.
